JOB TITLE: Personal Assistant with AI Skills LOCATION: Delhi (Work from home office) EMPLOYMENT TYPE: Full-time HOURS: 8 AM - 6 PM, Monday to Saturday ABOUT THE ROLE We are seeking a highly organized, detail-oriented individual with AI skills training to serve as a Personal Shadow Assistant. This is a unique role that sits at the intersection of personal administration, business operations, and AI-powered automation. You will become the operational backbone of a growing export business, managing communication, intelligence gathering, and business processes using AI tools and critical thinking. This is not a traditional assistant role—it's an opportunity to learn how AI transforms business operations while gaining invaluable exposure to scaling a multi-vertical export business. KEY RESPONSIBILITIES Communication Management Monitor and triage emails across 10 different email accounts (personal, business, verticals) Manage WhatsApp communications, transcribe voice messages, and alert on urgent items Track incoming calls and SMS to ensure nothing is missed Provide daily briefings on what needs attention Business Intelligence & Operations Monitor operations dashboards and alert to issues (delayed orders, quality problems, payment delays) Compile daily cash flow and payment collection reports Track financial metrics and flag concerning trends Identify operational bottlenecks and blockers Vendor & Sourcing Intelligence Research vendors and compile supplier lists Use AI tools to gather and verify vendor information Draft outreach emails to vendors and suppliers Follow up on pricing inquiries and compile competitive analysis Client Engagement & Sales Support Help manage high-value client relationships via personalized WhatsApp communication Support sales strategy development using AI prompts Maintain pricing lists and alert when updates are needed Organize product information and specifications for sales team Project & Task Management Monitor assigned tasks and track progress Coordinate between teams using messaging Flag delays and roadblocks early Maintain project timelines and milestones Booking & Personal Administration Research and book restaurants, hotels, and flights Plan vacations and manage personal travel Handle various booking and reservation tasks Export Business Development Research export markets and identify prospective clients Draft outreach to export prospects Coordinate business travel to meet with serious prospects Maintain export pipeline and opportunity tracking Additional Responsibilities Protect time for your learning and personal development Support family relationship management Maintain stakeholder and relationship logs Continuously optimize workflows and processes ABOUT YOU Required: Completed or near-completion of AI skills training from recognized institute Excellent attention to detail and organizational skills Strong written communication abilities Comfortable learning and working with AI tools (ChatGPT, Claude, etc.) Ability to maintain strict confidentiality Comfortable with technology and learning new platforms quickly Reliable, trustworthy, and professional demeanor Ability to work independently with minimal supervision Preferred: Experience with email management tools or CRM systems Familiarity with WhatsApp Business or similar messaging platforms Basic knowledge of spreadsheets and data organization Experience with research and information gathering Understanding of export or B2B business operations Interest in continuous learning and skill development Mindset & Values: Growth-oriented and eager to learn Proactive problem-solver Comfortable with ambiguity and willing to figure things out Respect for confidentiality and discretion Initiative-taking without requiring constant oversight Ability to understand priorities and focus on what matters most WHAT YOU'LL GAIN Hands-on exposure to scaling a multi-vertical export business Deep learning in practical AI applications (not just theory) Mentorship from an entrepreneur managing complex operations Opportunity to see how businesses actually run behind the scenes Training on real business workflows and decision-making Potential to grow into larger operational and strategic role Work in a home office environment with flexibility High trust and autonomy once you prove yourself WORK ENVIRONMENT Work from home office (8 AM - 6 PM) Direct access to founder/owner for guidance and learning Quiet, professional environment Discrete role—minimal interaction with office staff All team communication via messaging (no voice calls with staff) Learning environment where you grow alongside your mentor HOW TO APPLY Please submit: Your resume highlighting any AI training or coursework completed A brief cover letter (200-300 words) explaining: Why this role appeals to you What you learned in your AI training How you approach organizing complex information References from your AI training institute or previous work Application Deadline: [Your preferred date] IMPORTANT NOTES This role requires high trustworthiness and discretion You will have access to personal and business information—confidentiality is non-negotiable This is a learning opportunity for someone early in their career who wants exposure to real business operations We're looking for someone hungry to learn, not someone looking for a traditional admin job The role will evolve based on what you prove capable of handling
